The order arrives as a single line: logo attached, need it on shirts, how
fast can you turn it around? It is the most common way a digitizing job starts
and one of the most expensive, because everything the digitizer needs to know
is still sitting in your head. Two emails later you are answering questions you
could have answered once, and the sample still comes back wrong. Most
embroidery digitizing services will chase the missing pieces, but the orders
that run smoothly arrive with the answers already attached.
Here is what to send alongside the artwork, why each piece changes what
the digitizer actually builds, and what tends to go wrong when it is missing.
None of it takes long to gather, and it is usually the difference between a
file that runs first time and a week of back and forth.
Send the Best Artwork You Have, Not the Handiest File
The file you grab from an email signature is rarely the file you own. Vector formats such as AI, EPS, PDF, or SVG give the digitizer clean shapes with defined edges. A small PNG pulled off a website gives them an educated guess and a longer job.
If the vector art is genuinely gone, send the largest and sharpest raster
you have and say so up front. Rebuilding weak artwork is real work, and a
digitizer who knows about it will quote for it rather than discover it halfway
through. Hiding a poor source file only delays the same conversation.
Finished Size in Inches, Not Just Left Chest
Placement names are shorthand, not measurements. A left chest logo can sit anywhere from two and a half to four inches wide depending on garment size and how bold you want it to read, and somebody has to choose before the first stitch is planned.
Give the width and height you want in inches, and say whether that is a
firm requirement or a target. Size drives everything downstream: stitch count,
density, whether small text survives, and what the file costs. Leaving it open
is one of the most common reasons a design gets resewn. A digitizer who knows
the target width can also tell you before quoting whether the tagline will hold
at that size.
Name the Garment, Not Only the Fabric
Fabric type matters, but the garment tells a digitizer more. A pique polo, a 50/50 tee, a waffle knit quarter zip, and a bonded softshell all need different underlay and different pull compensation, even though most of them count as knits on paper.
If the run covers several garments, list them all. One file tuned for
cotton twill will look heavy on performance knit and unstable on fleece, and a
digitizer told at the start can plan those versions together instead of
rebuilding once the first sample disappoints.
Say Where It Sits and How It Gets Hooped
Placement changes construction, not just position. Cap fronts sew center-out and bottom-up to work with the frame and the curve, sleeves and cuffs have limited hoop clearance, and a twelve-inch jacket back needs different planning from the same mark at three inches.
Mention anything awkward in the garment itself: pockets, zips, seams,
linings, or a bag panel that cannot be hooped flat. These are the details that
turn a perfectly good file into an unstitchable one, and none of them are
visible from the artwork alone.
Thread Colors, With Numbers If You Have Them
Say how many colors you want and which ones they are. If your brand has approved thread numbers from Madeira, Isacord, or whichever range your shop stocks, send them and the guesswork disappears entirely.
Without numbers, give Pantone or hex values and expect a close match
rather than an exact one. Name the garment color too, since a design built for
white polos may need an outline or heavier underlay to read properly on navy or
black. Color count matters for production too, because fewer stops means less
operator handling at the machine.
State the Machine and the Format You Actually Run
The file has to open on your equipment. DST covers most commercial machines, while PES, EXP, JEF, and EMB each belong to particular brands, and asking for the wrong one costs you a day nobody budgeted for.
Give the machine make and needle count as well. A design sequenced for a
fifteen-needle head is not the same as one planned for six, where every color

Flag What Can Change and What Cannot

Say what you will accept, too. Permission to drop a hairline outline,
thicken a stroke, or set the tagline slightly larger lets a digitizer solve the
